Challenge

Our client had been using a generic Human Resource Information System (HRIS) with no good Applicant Tracking System (ATS) module.  The company was compensating for the deficiencies with Google documents and Google Sheets.  With disconnected systems, the process was very inefficient and cumbersome.  Not only was this a headache for internal employees, but it was also not a good experience for prospective hires.  In a tight job market, having a practical integrated system is crucial.  This led the client to seek our service.

What We Did

  • Work with the client to define the ATS requirements to meet recruitment and reporting needs.
  • Conduct thorough research on ATS systems and select one that is an excellent price to value and capable of:
    • Handling the recruitment process end to end: job description/posting, screening, interviews, skills testing, verifications, reference/background checks to onboarding, good collaboration, communication, and follow-up mechanisms.
    • Robust analytics that gives excellent insight into performance metrics and an effective feedback loop for continually improving the recruitment process.
  • Create a detailed implementation plan.
    • Work with the client to:
    • Optimize the recruitment process before configuring the workflows in the system.
    • Create a guide to resume evaluation.  Well, this was before broad access to AI 😊
    • Customize the ATS to match the business’s recruitment workflows and processes.
  • Conduct thorough testing of the ATS before going live.  Work with the software vendor to resolve identified issues. Gather user feedback and work with the software vendor to make necessary adjustments.
  • Train client team.

The analytics have enough granularity to be actionable to continually improve hiring outcomes and manage employees. Additionally, the system provides industry benchmarks for key metrics, providing a good reference point for the company to measure itself.
  • Improved Candidate Experience: Automated responses, interview scheduling, and status updates keep candidates informed and engaged throughout the process.
